What we collect
Aegis collects the following information about employees for attendance tracking:
- Full name, employee code, and department
- Facial photographs taken during enrollment
- A mathematical representation of the face (a face embedding) derived from those photographs. This is biometric data.
- Timestamped attendance records: the date, time, and gate of every scan
Why we collect it
This data is used only to:
- Verify employee identity at building entry and exit points
- Record attendance for HR and payroll
- Keep an accurate record of who is on company premises
How long we keep it
Face data and attendance records are retained for the duration of employment, plus [X months/years] after departure to meet record-keeping requirements, unless deletion is requested earlier. Employees may request earlier deletion by contacting [HR contact/admin].
Who can access it
Only authorized admin accounts can view employee-level data across all gates. A gate account sees scan activity at its own assigned gate and nothing else: not other employees' personal details, and not other gates' data.
Your rights
You have the right to:
- Request a copy of the data held about you
- Request correction of inaccurate data
- Request deletion of your face data and attendance history
- Withdraw consent, understanding that this may affect face-based entry. An alternative check-in method will be provided where required.
Security
Face data is stored as a mathematical representation, not as viewable images that can be reversed back into a photograph. Access to the system is restricted to authorized personnel.
